POSITION OVERVIEW


The Administrative Assistant will perform administrative duties related to the operations of the Stewarding Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES


The following and other duties may be assigned as necessary:

  • Assist the Stewarding departments in all aspects of the office
  • Assist in the maintenance of files, correspondence, and records in the department, typing and filing using computer systems
  • Perform telephone duties which require making and answering phone calls, messages, forwarding calls to appropriate people, assisting callers in resolving questions, using standards of service and being proactive with learned information
  • Receive and distribute office mail
  • Makes photocopies, faxes, and emails documents as needed
  • Schedules and organizes appointments for the Stewarding Department
  • Conduct research, preparing statistical reports, handle information requests, and perform administrative tasks to include projects and initiatives
  • Assist the Stewarding Department in carrying out various programs and procedures for all Members
  • Monitor, maintain, and order office supplies as needed
  • Ensure all guest facing areas of the office are kept clean and well maintained
  • Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary

QUALIFICATION REQUIREMENTS

  • High school diploma or equivalent required
  • Two (2) years of administrative assistant experience preferred
  • Excellent organizational skills and attention to detail
  • Extensive knowledge of office management systems and procedures
  • Ability to operate general office equipment
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite or similar software
  • Ability to maintain confidential information
  • Telephone etiquette skills needed and comfortable with interaction with many people
  • Ability to follow written and/or verbal instructions
  • Must be willing and able to work a flexible schedule to include holidays, nights, and weekends
  • Work in a fast-paced, busy, and somewhat stressful environment

SUPERVISORY RESPONSIBILITIES

This position does not have any supervisory responsibilities.

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

The Member must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds, and must have the ability to push, pull, reach, bend, twist, stoop, stack, crouch, kneel and balance when performing job duties in varying work areas such as confined spaces.
